A clear plan for your school group
Bring the journey details together so the people organising your trip can work from one clear plan.
- 01
Passengers and accompanying adults
Include everyone travelling in your passenger total. Tell us about luggage, equipment and any particular travel requirements when you enquire.
- 02
School pickup and arrival
Give the exact collection address, the arrival deadline and the time your group needs to be ready for collection. Share any access instructions from the school and destination.
- 03
The journey home
Set out the finishing time, return pickup point and emergency contact for the organiser. Ask our team about any requirements that need confirming before you book.
Planning this journey
Count students, teachers, advisers and accompanying adults who need transport. Give the university campus address and the open-day arrival instructions rather than just the institution’s name. Include the earliest booked session the group must attend, allowing for registration or moving from the coach drop-off to the first meeting point.
Provide the proposed return boarding time and the exact place everyone will reassemble. If students have appointments at different times, agree the shared finish before finalising transport. The organiser manages supervision and individual open-day bookings. Entry, course talks and campus-tour reservations remain separate from the coach hire enquiry.
Use the estimator for a straightforward journey, or send the complete itinerary as a tailored enquiry. Our team confirms the route, coach access, timings and vehicle availability before booking.
Check which campus the group actually needs
An institution may hold activities in more than one location. Compare the open-day programme with the students’ course interests and identify the correct destination before requesting a quote. Ask for coach drop-off and collection instructions, including any special open-day entrance or traffic arrangement. A second campus visit is an additional movement, not something to leave out of the route. If you want to combine two universities in one day, give the reporting times and visit durations for both, and send the complete programme for our team to assess as a tailored enquiry.
Give students freedom within a clear return plan
Where the school or college allows students to attend different sessions, issue one agreed reassembly point and a contact for the organising staff. Leave time for the group’s own checks before boarding rather than using the last talk’s finish as the departure time. Record anyone who will travel independently for one leg so the headcount stays accurate. If a session changes or the university revises its coach instructions, update the travel brief. For an overnight series of visits, provide each day’s destinations, accommodation bases and luggage needs through the multi-day planner for a tailored quote.

Good to know.
A few answers before you set off.
What should a school trip organiser prepare?
Prepare the total passenger count including accompanying adults, pickup and destination addresses, arrival and return times, and an organiser contact. Tell us about equipment, luggage and any particular travel requirements that need confirming.
How many people can travel on a coach?
Each coach has up to 53 passenger seats. For larger groups, the estimate builder calculates the additional coaches needed. Tell us about luggage and any particular travel requirements so our team can confirm the arrangements.
How do I get a coach hire estimate?
Use the estimate calculator on this page. Enter your passenger numbers, travel date, pickup points, destination and timings, then choose your journey arrangement. You can save your journey and send an enquiry to our team.
Can we have more than one pickup?
Yes. Add the pickup points in the estimate builder in the order you would like to visit them. The proposed schedule allows boarding time at each pickup. Our team checks the practical arrangements before confirming the journey.
Is the coach booked when I send an enquiry?
Sending an enquiry does not reserve a coach. We email a copy to you and our team, who check coach access, timings and availability before confirming your quote.
Can I save the journey and share it with passengers?
Save your private journey link to return to your plan and follow your enquiry. The calculator also provides a passenger itinerary without prices or contact details. Keep your private journey link for the organiser.
What if my journey needs a different arrangement?
Use the tailored enquiry form in the calculator for a different return route, multiple destinations or a journey it does not cover. Include your full route, dates, passenger numbers and preferred timings so our team can help.
