Your journey, properly planned
A good group journey starts with the right details. Put your route, passenger numbers and timings in one place.
- 01
Your group
Count everyone travelling, including organisers. Tell us about luggage, equipment and any particular travel requirements so we can discuss the right arrangements.
- 02
Your route
Add the exact pickup addresses in the order you would like to visit them, followed by your destination. Share any access instructions you already have.
- 03
Your timings
Choose a departure time or an arrival deadline. For a return journey, give the collection time and tell us whether you want the coach to wait or return later.
Planning this journey
Use the swimming venue's exact address and give the date, earliest reporting requirement and expected final session. Include warm-up, team briefing and accreditation time where these affect your arrival. The start of the first race is not necessarily a suitable target for the coach to reach the venue. Tell us which timings are confirmed and which depend on the final programme.
Count swimmers, coaches, team managers and all other accompanying passengers. Record how many travel on the outward and return legs, especially if families are making separate arrangements. Describe kit bags, food containers and other equipment so space can be discussed before booking. The club should retain its own consent, supervision and participant procedures.
Use the estimator for a straightforward journey, or send the complete itinerary as a tailored enquiry. Our team confirms the route, coach access, timings and vehicle availability before booking.
Coordinate more than one competition session
A gala can involve different arrival needs for different members of the team. Decide whether everyone travels together or whether separate movements are needed, then describe that requirement in the enquiry. A single return booking should not assume an open-ended shuttle between sessions. If finalists, officials or later competitors affect the likely departure, explain the uncertainty while the transport is being planned. Give one club contact responsibility for confirming the final programme with our team and communicating the agreed boarding instructions to the travelling group.
Make the venue handover straightforward
Ask the organiser for coach drop-off and collection instructions and share them with us. Check where the group will assemble after changing and collecting its belongings, rather than using the moment a race finishes as the return boarding time. If the gala involves an overnight stay, provide the accommodation address and every required movement between hotel and pool. Entry fees, accommodation and use of the venue are separate arrangements. Update the passenger count if results or family plans change who needs the coach home, and make sure the group knows its actual meeting point.

Good to know.
A few answers before you set off.
How many people can travel on a coach?
Each coach has up to 53 passenger seats. For larger groups, the estimate builder calculates the additional coaches needed. Tell us about luggage and any particular travel requirements so our team can confirm the arrangements.
How do I get a coach hire estimate?
Use the estimate calculator on this page. Enter your passenger numbers, travel date, pickup points, destination and timings, then choose your journey arrangement. You can save your journey and send an enquiry to our team.
Can we have more than one pickup?
Yes. Add the pickup points in the estimate builder in the order you would like to visit them. The proposed schedule allows boarding time at each pickup. Our team checks the practical arrangements before confirming the journey.
Is the coach booked when I send an enquiry?
Sending an enquiry does not reserve a coach. We email a copy to you and our team, who check coach access, timings and availability before confirming your quote.
Can I save the journey and share it with passengers?
Save your private journey link to return to your plan and follow your enquiry. The calculator also provides a passenger itinerary without prices or contact details. Keep your private journey link for the organiser.
What if my journey needs a different arrangement?
Use the tailored enquiry form in the calculator for a different return route, multiple destinations or a journey it does not cover. Include your full route, dates, passenger numbers and preferred timings so our team can help.
