Your journey, properly planned
A good group journey starts with the right details. Put your route, passenger numbers and timings in one place.
- Your group
- Tour Operators
- 01
Your group
Count everyone travelling, including organisers. Tell us about luggage, equipment and any particular travel requirements so we can discuss the right arrangements.
- 02
Your route
Add the exact pickup addresses in the order you would like to visit them, followed by your destination. Share any access instructions you already have.
- 03
Your timings
Choose a departure time or an arrival deadline. For a return journey, give the collection time and tell us whether you want the coach to wait or return later.
Planning this journey
Send the proposed itinerary by date, showing where the group begins and ends each day. Include passenger numbers, your accompanying tour staff, luggage quantities and any changes of group during the programme. Identify confirmed bookings separately from provisional visits, and give reporting times for ferries, attractions or other fixed commitments.
Use the multi-day planner or a tailored enquiry for touring programmes. It is a request for review, not an instant confirmed price or a vehicle allocation. Explain whether you need the coach throughout the programme, only on selected days or for individual transfers. Our team needs that distinction to discuss driver arrangements and the route.
Use the estimator for a straightforward journey, or send the complete itinerary as a tailored enquiry. Our team confirms the route, coach access, timings and vehicle availability before booking.
Write each movement as an operational instruction
For every journey, provide a full address, the proposed departure and the required arrival. Distinguish passenger collection from luggage loading and identify any venue-specific coach entrance. Describe sightseeing stops with the time the group expects to spend there, rather than listing a sequence of places without durations. Tell us which visits are essential if the route needs adjustment. The tour operator should coordinate attraction bookings, accommodation and guide arrangements separately; an enquiry for coach hire does not establish that those services are included. Discuss driver accommodation and any other tour-specific requirements with our team before booking.
Keep revisions controlled as the tour develops
Use a dated itinerary so your team and ours can identify the latest version. Highlight changes to hotels, luggage, passenger totals and fixed reporting times rather than sending an amended document without explanation. A new stop or a different overnight base may affect more than one day of vehicle movements. Provide a tour leader contact and explain how passengers will be assembled at each departure. If you need several departures of the same programme, give each proposed date and group size separately; a reviewed itinerary does not confirm availability or identical pricing for every future operation.

Good to know.
A few answers before you set off.
What should our group organiser prepare?
For Tour Operators, start with one organiser contact, a full passenger count, collection addresses and the travel date. Include luggage, equipment and any particular travel requirements, plus the arrival and return timings. Our team can then discuss the arrangements for your journey.
How many people can travel on a coach?
Each coach has up to 53 passenger seats. For larger groups, the estimate builder calculates the additional coaches needed. Tell us about luggage and any particular travel requirements so our team can confirm the arrangements.
How do I get a coach hire estimate?
Use the estimate calculator on this page. Enter your passenger numbers, travel date, pickup points, destination and timings, then choose your journey arrangement. You can save your journey and send an enquiry to our team.
Can we have more than one pickup?
Yes. Add the pickup points in the estimate builder in the order you would like to visit them. The proposed schedule allows boarding time at each pickup. Our team checks the practical arrangements before confirming the journey.
Is the coach booked when I send an enquiry?
Sending an enquiry does not reserve a coach. We email a copy to you and our team, who check coach access, timings and availability before confirming your quote.
Can I save the journey and share it with passengers?
Save your private journey link to return to your plan and follow your enquiry. The calculator also provides a passenger itinerary without prices or contact details. Keep your private journey link for the organiser.
What if my journey needs a different arrangement?
Use the tailored enquiry form in the calculator for a different return route, multiple destinations or a journey it does not cover. Include your full route, dates, passenger numbers and preferred timings so our team can help.
