Coach Hire for Private Tour Guides

Keep your guided experience at the centre of the day and give the transport a clear supporting brief. Private guides often work with a route that mixes storytelling, visits and time on foot. Tell us how the group moves between those elements, including where your passengers gather and where the coach is actually needed.

The details that shape your journey

Use these practical starting points alongside the journey-specific advice below, then ask our team about the arrangements you need.

Your group
Private Tour Guides
  1. Who is travelling?

Count everyone travelling and tell us about luggage, equipment and any particular travel requirements. Each coach has up to 53 passenger seats.

  2. Where and when?

Prepare exact pickup addresses, the destination, the travel date and either a departure time or an arrival deadline.

  3. What happens next?

Choose whether you need a one-way journey or a return, and whether the coach should wait or return later. Send a tailored enquiry if your plan needs a different arrangement.

Planning this journey

Provide the passenger count, including the guide and any accompanying tour staff. Set out the collection point, intended stops, time at each visit and final drop-off. Tell us about luggage, particularly if the day begins at a hotel or ends with a transfer to onward transport. Discuss the actual load and any particular travel requirements with our team.

Identify which parts of the route are fixed and which are flexible. A guide’s preferred viewpoint or street stop still needs to be practical for a full-size coach. Send a touring route with several destinations as a tailored enquiry; use the multi-day planner for a longer programme rather than treating the whole tour as one instant-priced transfer.

Use the estimator for a straightforward journey, or send the complete itinerary as a tailored enquiry. Our team confirms the route, coach access, timings and vehicle availability before booking.

Separate the walking route from vehicle movements

Show where the coach drops passengers for a walking section and where the group needs collecting afterwards. These may be different places, and the vehicle may need time to move between them. Give the expected duration of the walk and explain whether the finishing time is fixed or approximate. Check venue guidance for coach access and share any known restrictions. Do not assume a coach can wait at a visitor entrance or follow the group along a route designed for people on foot. Keep guiding and admission arrangements distinct from the transport booking.

Bring the guest experience into the practical brief

Tell us about fixed entry times, booked meals and the amount of unstructured time guests should have at each stop. A good tour is not simply the maximum number of locations on a map. Prioritise the visits that make the experience distinctive and identify optional stops that can be discussed if the schedule is too ambitious. If you need a particular onboard arrangement for guiding, ask our team rather than assuming equipment is fitted. Give a lead contact and one dated itinerary, and send changes to the route before presenting revised travel times to your guests.

Good to know.

A few answers before you set off.

How many people can travel on a coach?

Each coach has up to 53 passenger seats. For larger groups, the estimate builder calculates the additional coaches needed. Tell us about luggage and any particular travel requirements so our team can confirm the arrangements.

How do I get a coach hire estimate?

Use the estimate calculator on this page. Enter your passenger numbers, travel date, pickup points, destination and timings, then choose your journey arrangement. You can save your journey and send an enquiry to our team.

Can we have more than one pickup?

Yes. Add the pickup points in the estimate builder in the order you would like to visit them. The proposed schedule allows boarding time at each pickup. Our team checks the practical arrangements before confirming the journey.

Is the coach booked when I send an enquiry?

Sending an enquiry does not reserve a coach. We email a copy to you and our team, who check coach access, timings and availability before confirming your quote.

Can I save the journey and share it with passengers?

Save your private journey link to return to your plan and follow your enquiry. The calculator also provides a passenger itinerary without prices or contact details. Keep your private journey link for the organiser.

What if my journey needs a different arrangement?

Use the tailored enquiry form in the calculator for a different return route, multiple destinations or a journey it does not cover. Include your full route, dates, passenger numbers and preferred timings so our team can help.
