Your journey, properly planned
A good group journey starts with the right details. Put your route, passenger numbers and timings in one place.
- Your group
- Charities
- 01
Your group
Count everyone travelling, including organisers. Tell us about luggage, equipment and any particular travel requirements so we can discuss the right arrangements.
- 02
Your route
Add the exact pickup addresses in the order you would like to visit them, followed by your destination. Share any access instructions you already have.
- 03
Your timings
Choose a departure time or an arrival deadline. For a return journey, give the collection time and tell us whether you want the coach to wait or return later.
Planning this journey
Identify who is travelling: volunteers, staff, supporters or a group attending an activity. Count accompanying organisers and give the exact pickup and destination addresses. Include the travel date, required arrival and the time everyone will be ready for home. If passengers bring fundraising materials, donated items or equipment, describe the quantity and dimensions for discussion rather than assuming space is available.
Explain any particular travel requirements directly to our team before booking. Your charity remains responsible for participant arrangements and the activity itself. For several venues, different passenger groups or a programme over more than one day, send the complete itinerary as a tailored enquiry.
Use the estimator for a straightforward journey, or send the complete itinerary as a tailored enquiry. Our team confirms the route, coach access, timings and vehicle availability before booking.
Make the transport brief easy to approve
Record the route, headcount and timings in one version that your organising team can review. If the charity has its own approval process, distinguish a preliminary estimate from a confirmed booking so volunteers know what has actually been agreed. Do not base the budget on an assumed donation, concession or special rate; request the transport required and discuss the quote with our team. Identify whether event materials travel with the passengers or separately, particularly where collection and unloading need different locations. Keep fundraising targets and admission arrangements separate from the coach enquiry.
Coordinate volunteers without overcomplicating collection
Choose one lead organiser for the journey and give each pickup group a clear meeting instruction. Where several branches or volunteer teams join, list the numbers at each address and the proposed order. A simple route can use up to four pickups in the estimator; a wider collection plan needs a tailored enquiry. Confirm whether everyone returns together after the event or whether some volunteers stay behind. Tell us about setup, packing away or a later collection requirement before choosing the return time, so the transport brief reflects the work your group actually needs to finish.

Good to know.
A few answers before you set off.
What should our group organiser prepare?
For Charities, start with one organiser contact, a full passenger count, collection addresses and the travel date. Include luggage, equipment and any particular travel requirements, plus the arrival and return timings. Our team can then discuss the arrangements for your journey.
How many people can travel on a coach?
Each coach has up to 53 passenger seats. For larger groups, the estimate builder calculates the additional coaches needed. Tell us about luggage and any particular travel requirements so our team can confirm the arrangements.
How do I get a coach hire estimate?
Use the estimate calculator on this page. Enter your passenger numbers, travel date, pickup points, destination and timings, then choose your journey arrangement. You can save your journey and send an enquiry to our team.
Can we have more than one pickup?
Yes. Add the pickup points in the estimate builder in the order you would like to visit them. The proposed schedule allows boarding time at each pickup. Our team checks the practical arrangements before confirming the journey.
Is the coach booked when I send an enquiry?
Sending an enquiry does not reserve a coach. We email a copy to you and our team, who check coach access, timings and availability before confirming your quote.
Can I save the journey and share it with passengers?
Save your private journey link to return to your plan and follow your enquiry. The calculator also provides a passenger itinerary without prices or contact details. Keep your private journey link for the organiser.
What if my journey needs a different arrangement?
Use the tailored enquiry form in the calculator for a different return route, multiple destinations or a journey it does not cover. Include your full route, dates, passenger numbers and preferred timings so our team can help.
