Keep the group on the same schedule
Coordinate the details of your business journey before delegates or colleagues set off.
- 01
People and collection points
Confirm delegate or staff numbers, the exact collection addresses and a contact for the person coordinating the journey.
- 02
Your arrival deadline
Give the conference, meeting or event start time and the time you would like everyone to arrive. Include any venue access instructions.
- 03
Return and onward travel
Set out the finish time and return collection point. Tell us about additional destinations or a more complex itinerary for a tailored enquiry.
Planning this journey
Start with the full passenger count and each office or meeting point where people will join. Give the destination address, the time the team needs to arrive and the expected end of the programme. Include presentation materials, activity equipment or luggage that needs to travel.
If the day includes several venues, list each movement and say how long the group will spend there. Ask our team to review the complete itinerary rather than treating additional stops as an informal change on the day.
Use the estimator for a straightforward journey, or send the complete itinerary as a tailored enquiry. Our team confirms the route, coach access, timings and vehicle availability before booking.
Keep meeting instructions separate from the agenda
Distribute the pickup address, boarding time and organiser contact alongside the away-day schedule. Tell the group whether they return to the original collection points or need to make another arrangement. For more than one office, agree the collection order before sharing individual joining instructions.
Leave room for the whole programme
Tell us about fixed sessions, booked meals and any evening activity that affects the return. If the programme may finish at a different time, discuss that uncertainty when enquiring. Coach hire covers the agreed transport; venue access, activities and other event arrangements remain separate.
Make your journey a plan.
Choose your pickups, destination and timings. Get an estimate, save your journey and send an enquiry to our coach hire team.

Good to know.
A few answers before you set off.
How many people can travel on a coach?
Each coach has up to 53 passenger seats. For larger groups, the estimate builder calculates the additional coaches needed. Tell us about luggage and any particular travel requirements so our team can confirm the arrangements.
How do I get a coach hire estimate?
Use the estimate calculator on this page. Enter your passenger numbers, travel date, pickup points, destination and timings, then choose your journey arrangement. You can save your journey and send an enquiry to our team.
Can we have more than one pickup?
Yes. Add the pickup points in the estimate builder in the order you would like to visit them. The proposed schedule allows boarding time at each pickup. Our team checks the practical arrangements before confirming the journey.
Is the coach booked when I send an enquiry?
Sending an enquiry does not reserve a coach. We email a copy to you and our team, who check coach access, timings and availability before confirming your quote.
Can I save the journey and share it with passengers?
Save your private journey link to return to your plan and follow your enquiry. The calculator also provides a passenger itinerary without prices or contact details. Keep your private journey link for the organiser.
What if my journey needs a different arrangement?
Use the tailored enquiry form in the calculator for a different return route, multiple destinations or a journey it does not cover. Include your full route, dates, passenger numbers and preferred timings so our team can help.
